Position Announcement
Hamilton County Soil and Water Conservation District is seeking a Part‐time Office Coordinator. The incumbent will be an employee of Hamilton County and directed and supervised by the Conservation Administrator and the Board Supervisors of the Hamilton County Soil and Water Conservation District.

General Description for Office Coordinator
We are looking for a detailed oriented individual that is good with financial documentation/reporting. The main responsibilities include greeting customers, reporting/recording financial activities, preparing/maintaining accurate documentation and records, and supporting the SWCD Supervisors. The Office Coordinator position is often the first contact that the public makes with the SWCD. We are looking for a courteous, individual that is good with people and has good customer service. Incumbent is also involved with assisting the public, supporting board meetings, and providing support to department personnel. This individual is secretary for the Soil and Water Conservation District Board and carries out duties assigned by the SWCD Treasurer.


Duties:
  • Responsible for preparing claims, financial reports, and county claims for SWCD Board. Works directly with the Board Treasurer. Makes bank deposits, generates checks, records expenditures, and deposits in Quick Books, and completes quarterly and annual financial reports. Prepares materials for grant reports, state audits and year end reports.
  • Prepares agendas, minutes, and attends SWCD monthly board meetings, committee meetings, and public hearings as needed. Completes correspondence, registrations, and other notices for the board. Prepares/submits monthly narrative of activities for SWCD Board, making a written report, oral presentations, and comments, as appropriate.
  • Assists with documentation for grant and funding opportunities. Periodically assists other department personnel with projects, as needed. Assists other staff with scanning documents, converting files to PDF format, and creating new file formats.
  • Fulfills the requirements of the CREP program, contribution agreements, partner coordination, and grant reporting procedures, as necessary. Supports the Rule 5 program by logging plan reviews, electronically filing, and completing cover sheet for plan review.
  • Supports the District’s marketing and advertising program including tree sales, equipment sales, plat book sales, logos, community engagement, events, programs, and volunteers. Maintains volunteer, vendors, and suppliers’ databases.
  • Assists office visitors in selection and purchase of appropriate services including soil and water tests. Tracks service sales, results, and reminders in communication with customers. Periodically required to take soil and water samples for clients and make deliveries.
  • Prepares regular press releases, social media posts, and blog/newsletter posts, as requested.  Maintains address lists and updates CRM. Utilizes Engage to communicate with multiple groups and networks. Updates and maintains information for the district and county web site.
  • Answers telephone and greets office visitors, providing information and assistance, and responding to inquiries regarding natural resources issues, such as tree species/planting, soil, and wildlife problems.
  • Assists in planning, organizing, and coordinating SWCD meetings, 4-H Fair display, and other district activities.  Maintains and orders office supplies and equipment. Tracks stock of sale items and creates sales and stock reports.

Knowledge:
  • High school diploma or GED and a minimum of two years of bookkeeping experience, or equivalent combination of education and experience.
  • Knowledge of financial documentation and reporting.  Working knowledge of Quick Books, or accounting software basics. Maintaining compliance with financial regulations.
  • Ability to understand, memorize, retain, and follow oral or written instructions.
  • Ability to follow SWCD policies, procedures, and legal requirements.
  • Working knowledge of word processing, spreadsheets, database, e-mail, and website development. Proficient with Microsoft suite and Windows operating system. Strong experience and knowledge of spreadsheets, creating flyers, registration sheets, web-based surveys, forms, and documents, is preferred.
  • Working knowledge of standard English grammar, spelling and punctuation, and ability to effectively communicate orally and in writing with co-workers, federal, state and local agencies/departments, land owners/users, developers and contractors, and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities.
  • Ability to perform relevant arithmetic calculations, and standard office and audio-visual equipment, such as computer, printer, copier, calculator, postage meter, telephone, and overhead projectors.
  • Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons.
  • Ability to comply with all employer/department personnel policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
  • Ability to provide public access to or maintain confidentiality of department information/records according to state requirements.
  • Ability to work alone and with others in a team environment, and maintain appropriate, respectful interrelationships with co-workers.
  • Ability to work on several tasks at the same time, often under time pressure, and complete assignments effectively amidst frequent distractions and interruptions.
  • Possession of a valid Indiana driver's license and demonstrated safe driving record.

Position Details and Application Procedures:
Hourly rate $20.91. Compensation will be based on experience.
